  • Overview

    The Administrative Manager oversees the process and staff for incoming and outgoing print, fulfillment and mailing – ensuring quality and timeliness for ReedGroup customers and clients.

    • This position acts as a knowledgeable information resource and liaison between all parties involved in the print product and mailing of correspondence for leave absence programs.

    • In addition to overseeing the work of onsite resources, this role also manages the external vendor that produces and mails correspondence on behalf of ReedGroup.

    • The Administrative Services Manager also oversees indexing in the Leave Management System - Content Manager for non-consenting 360/v4 clients incoming faxes and mail.



    • Manages the printing and processing of outgoing correspondence, including the operation of print, sort and mail equipment

    • Supervises all mailroom activities, including the sorting, scanning and processing of internal and external mail. Oversee the process of attaching imaged/scanned documents to corresponding records in the leave management system

    • Supervises inventory and reorders items as needed

    • Ensures legal compliance and confidentiality, provides timely notifications and client company communications to employees

    • Manages and communicates with vendors, establishing clear lines of accountability

    • Manages and oversees workload, performance management, personnel management and goal setting.

    • Provides monthly updates to management on administrative production and team progress

    • Focuses on the development of staff by working collaboratively with them to develop stretch goals and create opportunities for them to expand their horizons

    • Oversight of the mail room duties, which include sorting and routing incoming and outgoing mail; Tracking and logging all internal and external mail; Upload, scan and attach documents; Orders office supplies; Other administrative duties

    • Responsible for forecasting staffing needs, recommending efficiency strategies and management of the mail room staff

    • Attends department meetings and company meetings

    • Other duties as required  



    • 2 to 4 years of recent experience supervising a small to mid-size print/mail function within a small to mid-size company

    • Bachelor Degree or combination of experience and/or professional certification

    • Customer service experience

    • Excellent interpersonal communications skills both verbal and written, exercising diplomacy and good judgment

    • Must have previous supervisory or Team Lead experience and the ability to prioritize and assign work in high volume environment

    • Prior experience with benefits management or equivalent area desired

    • Self-starter and proven team player capable of prioritizing work and problems simultaneously

    • Comfortable working in a high-energy, quickly changing and demanding environment

    • Demonstrated success in driving projects from initiation to completion

    • Demonstrated success managing shifting priorities with limited resources

    • Intermediate Microsoft Office experience with Excel, Word, PowerPoint, Outlook

    • Experience with Skype, WebEx, SharePoint, and other collaboration tools
